Cadmium Payments in Expo Harvester Reference Guide for Cadmium Employees**INTERNAL ONLY**

In the coming months, customers will be able to access Cadmium Payments in Expo Harvester to configure their own payment processors.  This reference guide is intended for Cadmium employees to explain the changes to Expo Harvester and provide guidance on how to support our first-round users.  

Rollout Plan  

In preparation for the full release of Cadmium Payments in Expo Harvester, the Product team will be enabling Cadmium Payments for a select group of customers. Enabling and configuring Cadmium Payments for Expo Harvester will not require any action or involvement from the operations or revenue teams or customers. However, Project Managers will be asked to communicate the change to customers 1 day prior to the product team enabling Cadmium Payments. A boomerang template can be found here.  

If a customer who has been transitioned to Cadmium Payments reaches out with a question or concern about a change in Expo Harvester, please review the suggested response to customers section at the bottom of this article.  

Updated Settings and Task Options 

All Pay Later settings and task options have been moved to Cadmium Payments. To learn more about configuring pay later options in Cadmium Payments, please review the Using Pay Later When Configuring Merchant Accounts article on the Eventscribe documentation portal. 

When Cadmium Payments is enabled, the following settings related to pay later will no longer be available in Expo Harvester as they are now supported in Cadmium Payments.

IMPORTANT NOTE

Until the full release, if a customer needs to change anything in these settings, Cadmium staff will need to update these settings in Cadmium Payments.

Depreciated Settings  

Along with the release of Cadmium Payments, the following Expo Harvester settings are no longer supported within the application: 

General > Payments > Allow Electronic Check Processing (Authorize.Net) only

This setting has been deprecated, and we no longer accept Electronic Check Processing.

This setting has been deprecated and will no longer restrict which credit cards can be used by users. This will need to be configured at the customer’s merchant level.

Changes to Adding a Payment to a Company 

The ability to add a payment transaction to a company has been updated to include Cadmium Payments. For more information on how to do this, reference this article.

NOTE

This was the old popup that admin users would see when clicking ‘Add Payment.’ The left navigation options within this popup (Credit Card, Check, Wire Transfer, Other) are now contained within a new detail's popup structure – detailed below.  

Changes to Transaction Categories

After payments have been made, transactions will continue to be logged on the company’s transaction page in Expo Harvester. However, a major change is that these pay later transactions will now be logged as ‘Future Payments’ instead of a specific payment mechanism. This allows the customer to see if users are committing to a future payment.  

To accommodate this change, the Details popup for ‘Future Payments’ has been updated to allow admin users the ability to set the payment mechanism and payment status for these transactions. For more information on how to do this, reference this article.  

IMPORTANT NOTE

Customers are able to make these changes themselves when Cadmium Payments is turned on for their event.  

NOTE

No changes have been made to categorizing Online Credit Card transactions.

Suggested Response to Customers 

As we continue to release Cadmium Payments throughout Cadmium products, we will be slowly deprecating certain task configuration options and settings that were once available with our other payment system. These settings or task options are no longer necessary or required to process payments through our system. If you need [insert specific setting or task option] turned on, I have updated the configuration for you, and you should be all set.
